Digital Contracts Administrator Opportunity!

The role

This role plays a key part in our commercial operations by ensuring that various team administration-based tasks are performed in support of the broader team functions, projects and initiatives.

What you will do

As a Contracts Administrator you will be based in a small team and will assist in the management of purchase and payment activities within the Digital portfolio, including raising POs, arranging payment and managing invoices and handling all general finance and billing queries. You will have the opportunity to build relationships with our suppliers and strategic partners as well as colleagues in Finance and other key stakeholder areas.

In addition, you will assist the Contract Managers with contractual administration, work order process management and also play a key role in ensuring consistent and up to date data is maintained for all contracts held in the portfolio. You will be expected to be heavily involved in the development and maintenance of day-to-day procedures and work instructions, including providing assistance and training to stakeholders who are required to interact with the workflow process. You'll also be responsible for developing and updating the content and structure of our comms channels, including Departmental mailboxes, a SharePoint site, and internal social media; and act as a central contact point for routing or answering queries and capturing feedback. Your activities will ensure that our customers are served well and that our team is perceived as responsive and helpful.

What you will bring

Strong administrative skills; attentiveness to detail and consistency

Good general numeracy and analytical skills

Experience of creating standard processes, training/guidance documents and work instructions

Good communication and problem-solving skills to ensure payment and invoicing issues are resolved.

Ability to self-manage workloads

Good working knowledge of Microsoft Excel, Word, Outlook.

Proven experience of financial or business administration.

Natural sense of urgency and drive to complete.

Strong team player who enjoys working as part of a specialist team.

Full training will be provided on our internal systems including ServiceNow, Oracle and our invoice matching provider.

Desirable:

Familiarity with contracts/statements of work/work orders and contract administration

Understanding of Microsoft SharePoint, Yammer

Prior experience with ServiceNow contract management and Oracle Fusion

Exposure to contract management activities and contract documentation.
